Use this article to turn on email alerts for a saved search, choose which listing activity you want alerts for, set who receives alerts and how often, add a contact to receive them, and understand what each alert email includes.
Turn on email alerts for a saved search
Turn on the Alerts toggle in the Edit Search window to send email alerts for a saved search.
Steps:
Click Saved Searches, or the name of the open saved search, in the upper left of the Search page
Click the pencil icon next to the saved search in the My Searches window
Turn on the Alerts toggle
Select the listing activity you want alerts for
Select an option from the Recipient dropdown
Select an option from the Frequency dropdown
(Optional) If you selected Weekly or Monthly, select a day from the Day or Day of Month dropdown
(Optional) If you selected Daily, Weekly, or Monthly, select Morning or Evening from the Time of day dropdown
Click Update
Perchwell begins sending alerts for new matching activity on the schedule you set. Listings that already matched the search are not sent as new matches.
The first time alerts are turned on, New match is selected, Recipient is set to Only me, and Frequency is set to Immediately. If alerts were previously on, Perchwell restores the previous settings.
Turn on saved search alerts with the bell icon
Click Saved Searches, or the name of the open saved search, in the upper left of the Search page. In the My Searches window, click the bell icon next to a saved search to turn on its alerts. The bell turns green when alerts are on.
Click the pencil icon next to the saved search to change the alert settings in the Edit Search window.
Choose which listing activity sends a saved search alert
Select one or more options under the Alerts toggle to choose which listing activity sends a saved search alert:
New match: A listing newly matches the saved search.
Status: A matching listing changes status.
Open House: A matching listing adds an upcoming open house.
Price: A matching listing has a price increase or price drop.
Each alert includes only listings that match the saved search and have the selected activity. A status or price change that moves a listing outside the search filters does not send an alert.
Note: New match alerts depend on the Frequency setting. Immediately and Daily alerts include any listing that becomes a new match, regardless of its status. Weekly and Monthly alerts include only listings that are new to the market.
Choose who receives saved search alerts
Select an option from the Recipient dropdown to choose who receives saved search alerts. The contact options copy contacts as CC (carbon copy) or BCC (blind carbon copy) recipients:
Only me: Sends alerts only to you.
Me + CC contact: Sends alerts to you and CCs the contacts added to the saved search.
Me + BCC contact: Sends alerts to you and BCCs the contacts added to the saved search.
CC contact only: Sends alerts to the contacts added to the saved search as CC recipients, but not to you.
BCC contact only: Sends alerts to the contacts added to the saved search as BCC recipients, but not to you.
Add contacts to the saved search before selecting a Recipient option that includes contacts. The Add a contact to receive saved search alerts section covers how.
Choose how often saved search alerts send
Select an option from the Frequency dropdown to choose how often saved search alerts send. Alerts send only when there is matching activity, so recipients do not receive an email when there is nothing new to report.
Immediately: Perchwell checks every hour and sends an alert for new matching activity.
Daily: Select Morning or Evening from the Time of day dropdown. Alerts send once a day.
Weekly: Select a day from the Day dropdown, then Morning or Evening from Time of day. Alerts send once a week on that day.
Monthly: Select a day from 1 to 31 in the Day of Month dropdown, then Morning or Evening from Time of day. Alerts send once a month on that day, or on the last day of a shorter month.
Morning alerts send around 8:00 AM and Evening alerts around 8:00 PM in your MLS time zone.
Add a contact to receive saved search alerts
Add a contact to the saved search from the Contacts dropdown to send them saved search alerts. A contact receives alerts once they are added, the Alerts toggle is on, and the Recipient option includes contacts.
Steps:
Click Saved Searches, or the name of the open saved search, in the upper left of the Search page
Click the pencil icon next to the saved search in the My Searches window
Click the Contacts dropdown at the top of the Edit Search window
Select a contact
Turn on the Alerts toggle, if it is off
Select a Recipient option that includes contacts
Click Update
The contact receives saved search alerts according to the Frequency setting.
The Contacts dropdown lists only people already in your contacts. To send alerts to someone new, create the contact first, then add them to the saved search. Create and Manage Your Contacts in Perchwell covers creating a contact.
For invited clients, the Allow added contacts to see and edit this search toggle controls whether they can open and edit the saved search. Invited clients can receive alerts whether the toggle is on or off.
Share a Saved Search with a Client covers giving a client access to the saved search itself.
What a saved search alert email includes
Each saved search alert email shows matching listing activity since the last alert:
The saved search name with a link to open the search
A preview of each matching listing
A link to open each listing's detail page
A link to unsubscribe from alerts for that saved search
Contacts do not need a Perchwell account to receive alerts or open the listing links in the email. Each listing link opens a listing page with your name, brokerage, brokerage logo, email, and phone number at the top, along with your profile photo if you have added one.
Unsubscribe from Notifications (For Invited Clients) covers how a client stops receiving alerts.
