Create Communication Templates for your Brokerage

In this article: You will learn how to create and save email templates in Perchwell to share across your Brokerage. This is great for agents to quickly reuse approved messaging when you invite clients, send reports, or contact listing agents.

What email templates are used for

Email templates help your agents send consistent messages without rewriting the same email each time.

Create templates for agents to:

  • Share listings with clients from their contact’s list.

  • Send reports via email (example: CMA, Itinerary, or listing reports).

  • Contact a listing agent to schedule showings, tour or ask questions.


Email template creation

Create brokerage templates from My Brokerage so they are ready to use when you send emails.

Steps:

  1. Open My Brokerage

  2. Click Email Templates

  3. Navigate to the type of template you want to edit or create

    1. Send to Listing Agent

    2. Share with Contact

    3. Reports

  4. Click + Add New to create a new template

  5. Enter a template name and write your message in the body field

  6. Click Save

After you save a template, it appears as an option the next time you invite a client.


Example templates for inviting clients

Use these examples as a starting point, then update the wording to match your tone and process.

First message template (initial invite)

💡 Great for when your agents are inviting clients to Perchwell for the first time.

→ Hey, [name]!

This is Perchwell, the tool I'll be using to help you find your perfect home! I will send a follow-up email shortly to help you get started. For now, please create your password using the link provided here, either in a mobile or desktop web browser.


Email Signatures

Add a personalized signature to your templates to ensure the agent’s name is include on all outgoing emails.

Steps:

  1. Open My Brokerage

  2. Select Email Templates in the left panel

  3. Find the email template you want to update and click Edit

  4. Click Edit Dynamic Text to insert details such as your first name, last name, full name, email address, or listing information

  5. Click Save

The agent’s signature will now appear automatically at the bottom of any email sent using that template.

💡 Each email template supports its own unique signature, so you can customize the sign-off based on the type of message you are sending.


Tips

  • Create separate templates for Invited Clients, Contact Agent emails, and sharing Reports emails so your agents can choose the right message for each workflow.
